In this privacy policy, which applies to all Work System’s customers in Sweden, we will explain how your personal information will be used in connection with you requesting a quote or purchasing our goods and/or services, visiting the facility/website or other contact with us.

If you provide personal information directly to any of Work System’s collaborative partners, such as ProPartner, they are independent data controllers.

The personal information that is processed varies depending on whether you are acting as a private individual or a company. The form of the company may also be of significance, and if you represent a sole proprietorship, for example, company information may be the same as personal information.

When you visit https://www.worksystem.se, request a quote, purchase our products and/or services, or make any other contact, you consent to us collecting information about you and/or the company you represent. This information may include:

• Personal information: Full name, email address, phone number, social security number, address, postcode, city, registration number, customer number, geolocation

• Company information: Corporate registration number, company name, address, postcode, city, registration number, customer number, sector affiliation, invoicing information such as invoicing address and reference person

• Financial information: Payment details and, where applicable, details of the company/private customer’s payment history and credit rating. The credit assessment will be performed by Work System with information from Creditsafe.

• Interaction data: Data related to user interaction such as: technical data, cookie data, IP address, device information and user history.

When you submit personal information to us at Work System, this is used appropriately and on a legal basis as follows:

• Handling and administration of your purchase

When purchasing our products/services, we process your information in order to fulfil and administer our business relationship with you as agreed. We also process information for the purpose of charging, processing invoices, rectifying errors and managing other incidents, as well as for any claims for returns, complaints, requirements or warranty. This may also include follow-up questions and surveys about your experience of our products and/or services. The information may also be processed in order to comply with our obligations under applicable legislation, such as consumer legislation and the legal basis that constitutes our purchase contract with you.

If you request a quotation from us, your personal information will be used for the purpose of administering, following up and taking action on the quotation before any contract is entered into.

The personal information you provide to us in your job application is processed for the purpose of administering your application and contacting you during the recruitment process. For example, it may include your name, contact details, social security number and information related to your employment history, skills, qualifications and/or other information in your covering letter/CV.

In addition to the processing described above, the following applies specifically to the CONTROL app, which is used to configure and control devices in the CONTROL product family.

When you register an account in the app, we only collect your email address. We do not collect location data, device information, contact lists, user behaviour or advertising identifiers via the app.

• Important operational and security communication related to the app – legitimate interest

We do not use your email address in the app for tracking across apps or websites, profiling, marketing/advertising or sharing with data brokers or advertising networks.

Do you want to delete your Work System CONTROL account and associated data? Email info@worksystem.se with the subject line “Delete account – Work System CONTROL”. Work System CONTROL does not use Apple’s App Tracking Transparency (ATT), as the app does not track users across other apps or websites.

The app does not use any third-party services or SDKs that collect personal information for their own purposes.

Work System only shares your personal information when this is a legal requirement or otherwise in accordance with applicable laws. No personal information is sold to third parties.

In order to fulfil our obligations to you as a customer, we may use suppliers or subcontractors. In these cases, the company/authority is either an independent data controller or has a data processing agreement in place to ensure that there are security measures in place to protect your information. Companies that help us in these cases can be forwarding/logistics companies, credit institutions, marketing suppliers or authorities.

Work System minimises the transfer of personal information to countries outside the EU/EEA, and if this happens, the requirement is that the information is handled at the same level as the protection offered within the EU/EEA.

Work System processes personal information in order to provide the best possible service and fulfil our commitments in relation to you as a customer. The storage period varies for different types of personal information and is governed, for example, by the company’s need for the information, as well as legal and contractual requirements. Work System may store personal information for additional time in specific cases, for example to resolve any complaints/disputes or in some other way fulfil our legal obligations. Our procedures must ensure that the storage period and unnecessary information are minimised as far as possible.

• Purchase, ordering and user history to the extent that the information is not anonymised will be stored for 10 years.

• Information relating to customer service matters is stored either until the matter is closed or deleted after 8 years.

• If you are not a customer of Work System but visit our website or similar, for example, Work System will obtain your consent before we register any information. The information collected from you will be saved by Work System for as long as it is relevant or at most 5 years.

Work System adopts the legal, technical and organisational security measures required to ensure that your personal information is not manipulated, lost or accessed by unauthorised persons. With us, the information will only be processed by those who need it for their work tasks. Our security procedures are updated and adjusted on an ongoing basis in order to follow technological developments.

We want to be open and transparent, and you have the right to request an excerpt from the register of personal information stored about you at any time. If we receive an access request, we may require additional information from you to ensure that the information is disclosed to the right person.

In addition to an excerpt of your personal information, you are entitled to the following statutory provisions:

• Request a correction, restriction or objection to our processing of your personal information. For example, if the information collected is incorrect, the withdrawal of a given consent or the refusal of various types of marketing.

• Request deletion of your data to the extent that it complies with applicable law and the contracts entered into with you

Work System will always do its utmost to fulfil your request, but in some cases, for example, information cannot be deleted with respect to compliance with applicable legislation.
